Privacy and your information.

For the Circle Sure website, Circle Sure Support and Circle Sure Publishing, including business messaging through connected Meta accounts. Updated 3 November 2026.

Who handles your information

Circle Sure Technologies (Pty) Ltd, South Africa, operates these Circle Sure services and is responsible for the personal information it processes for its own enquiries and operations. Contact us at [email protected] or +27 10 158 3325.

Our shared Support service also handles enquiries for connected businesses. A message is routed according to the business Page, account, number or website you contacted. The business you contact remains responsible for its products, services and customer relationship; Circle Sure provides shared communication services. Any additional business-specific notice applies to that business’s processing. This notice does not replace Meta’s own privacy policies.

What you choose to share

The enquiry form asks for your name, email address, and message. Partnership enquiries also ask about your business or idea, its stage, and the support you are interested in. Please do not include passwords, identity documents, financial account details, or private customer records.

How the enquiry reaches us

The Grow campaign form also offers an optional business stage. If you arrive through a campaign link, its source, medium and campaign name are included with your enquiry to help us understand which promotion brought you here. These codes are read from the page address when you submit; they are not stored in tracking cookies.

When the form says “Prepare email enquiry”, it creates a draft in your email app. You decide whether to send it. Nothing is submitted to Circle Sure by preparing that draft.

When direct sending is available, the form sends your enquiry to the Circle Sure team. With Support connected, your details and message are recorded as an enquiry case for the staff attending Circle Sure. We may also send an email copy to our team and an acknowledgement to your address. Hosting and email providers process information as part of operating their services.

Website chat

The Support button connects you to the Circle Sure team. Your chat messages are saved in Support, and staff replies appear in the same chat. Replies may take time; this is not an automated assistant. Keep this browser tab to return to your conversation.

A temporary chat token is stored in this tab’s session storage to keep your conversation available as you move between pages or reload. It expires after seven days and is normally removed when the tab is closed. Clearing that storage loses access to the conversation; it does not delete messages already received by our team. The chat does not send email notifications. Please avoid sharing sensitive details.

What we use it for

We use the details to review your enquiry, respond, and discuss any next steps with you. Sending an enquiry does not create an account, subscribe you to a marketing list, or establish a partnership.

WhatsApp, Facebook Messenger and Instagram

When you contact a connected business channel, we receive the information made available by that channel: your phone number or platform-scoped identifier, available profile name or username, message text, attachments or media references, the destination business account, message identifiers and timestamps. Delivery, read and failure events may also be recorded. Instagram handling applies where that account’s messaging integration is enabled; not every listed business or channel is connected.

We use this information to create and maintain a Support conversation, identify the correct business and team, deliver replies, track delivery, prevent duplicate processing and investigate problems. We record conversation timing and queued replies to respect channel messaging rules. On WhatsApp, an approved template may ask you to reply before a queued response can be sent outside the customer-service window. A message to Support is not a general marketing subscription.

Authorised staff can view conversations within their assigned access. Staff actions, case assignments and internal notes may form part of the support record. Connecting a business account also records its account identifiers, permissions and protected connection credentials so that authorised integrations can operate. We do not ask customers to send their social-media passwords in a support conversation.

Staff assistance and service providers

Where a business enables writing assistance, a staff member can ask OpenAI to draft or improve a reply. This may send relevant conversation text, the staff draft and supporting knowledge to OpenAI. The staff member reviews and sends the response; this feature does not itself send an automatic customer reply. Please avoid sharing sensitive information that is unnecessary for your enquiry.

Railway provides application hosting and database infrastructure. Meta provides the connected WhatsApp, Facebook and Instagram messaging services. Email, delivery-notification, hosting and security providers also process the information needed for those services. OpenAI processes writing-assistance requests when that feature is used. The relevant business’s authorised staff and Circle Sure personnel supporting the service may access information for these purposes. We may disclose information where required by law or necessary to address fraud, security incidents or legal claims.

Service providers may process information outside South Africa, including through overseas hosting and support. The location depends on the service and its infrastructure. Contact us for information about the providers and transfer arrangements relevant to your enquiry. We do not sell support conversations or use them for unrelated advertising.

Choice, security and retention

You choose what to send. Without contact details or the information needed to identify an enquiry, we may be unable to respond or resolve it. We process information to respond to your request, provide agreed services, operate and protect our systems, and meet applicable obligations. Where processing relies on consent, you can withdraw it by contacting us; this does not undo earlier lawful processing.

Access controls and protected service connections help safeguard information, but no online service can guarantee absolute security. Support records are not automatically erased when a conversation is closed or a messaging window expires. Retention depends on the enquiry, the service relationship and applicable record-keeping, security or legal requirements. You can ask us to review retention and request deletion. We assess what can be removed and explain any information that must be retained. Backup and provider-held copies may have separate retention cycles; deletion is not an instant purge of every system.

Website operation

This site uses locally hosted fonts and does not include advertising trackers or analytics scripts. Hosting systems may process technical request information. Where direct enquiries are enabled, a short-lived, per-server request counter helps limit repeated submissions. A hash of the recipient address is kept in memory for up to one hour to limit repeated acknowledgement emails.

Questions and requests

To ask about an enquiry, correct details you have supplied, or request deletion, email [email protected]. You can also ask for access to your information or object to processing, subject to applicable law. Include the business and channel you contacted so we can locate the right record. We may need proportionate verification to avoid disclosing or deleting another person’s information.

Follow our data-deletion instructions for a request concerning Circle Sure Publishing, Support or a connected Meta conversation. You may also complain to South Africa’s Information Regulator. We update this notice as our services change and show the revision date above. See also our terms and conditions.
